Shopify Order Processing & Bookkeeping VA
RESPONSIBILITIES:
DAILY:
Customer Service & Call Management
- Answer incoming calls professionally and assist customers with inquiries, orders, and support requests.
- Make outbound calls to follow up on customer inquiries, resolve issues, or confirm order details.
- Maintain a polite and professional demeanor in all customer interactions.
- Log call details, including customer concerns, in a CRM or tracking system.
Invoice Generation & Order Processing
- Create and send invoices to customers using Shopify.
- Verify order details before generating invoices to ensure accuracy.
- Follow up on outstanding invoices and send reminders for pending payments.
- Update records in Google Sheets/ Xcel or accounting software (QuickBooks) to track payments received.
Bookkeeping & Financial Record Management
- Record daily transactions and maintain accurate financial records in QuickBooks.
- Categorize expenses and income appropriately to keep accounts updated.
- Reconcile daily transactions to ensure records match with bank statements.
- Track accounts receivable and payable, ensuring payments are processed on time.
Data Entry & Documentation
- Update and maintain financial records, customer details, and sales logs in Google Sheets and Excel.
- Organize and file receipts, invoices, and financial documents for easy access.
- Generate daily reports summarizing sales, invoices, and outstanding payments.
WEEKLY:
- Reconcile bank and credit card statements with QuickBooks to ensure financial accuracy.
- Follow up on pending customer issues or unresolved service requests.
- Summarize weekly sales and invoice reports for review.
- Attend virtual team meetings to discuss workflow, customer concerns, and financial updates.
MONTHLY:
- Prepare financial projections and forecasts to assist with planning and budgeting.
- Reconcile bank statements and credit card transactions to ensure accuracy.
- Monitor accounts receivable and payable to track incoming and outgoing payments.
- Create detailed expense analyses to identify cost-saving opportunities.
- Update and maintain the general ledger for accurate record-keeping.
- Generate reports summarizing key financial metrics, such as cash flow and profitability.
- Assist with tax preparation by organizing financial records and categorizing transactions.
- Review financial compliance to ensure adherence to policies and regulations.
- Analyze trends in revenue and expenses to provide actionable insights.

- Proven experience in customer service, bookkeeping, or a similar administrative role.
- Excellent time management and organizational skills.
- Strong attention to detail and the ability to work independently.
- Exceptional communication and interpersonal skills.
- A high level of professionalism and discretion when handling sensitive information.
